# Damage capture

> Report a damage on the car diagram: zone, type, severity, description, estimated cost and photos. The agency then takes over the review and repair.

**Who can use this:** Agency employee
**In the app:** Camera › Damage capture

**Updated on:** 2026-10-25

Damage capture describes a defect found on a car precisely: where it is, what type it is, how serious it is and the photos that prove it. You do it during an inspection or at any time from the camera. As an employee you create the report; what follows (review, repair, possibly charging the customer) belongs to the agency managers.

**Damage capture screen**

| Field | Required | Values or format | Example | What it means |
|---|---|---|---|---|
| Car | Yes | The car of the current inspection or task, or a car of the fleet | Dacia Logan, 12345-A-6 | The car where you saw the damage. It is already filled when you come from an inspection. |
| **Damage diagram** | Yes, one zone | Views of the car with zones to tap | Tap the front left wing | "Tap a zone of the car to report damage." The tapped zone is marked "selected". |
| **Car zones** | Yes, if you do not use the diagram | Exterior: Front bumper, Rear bumper, Left side, Right side, Roof, Windshield, Windows, Wheels and tyres. Interior and underside: Interior, Undercarriage | Left side | The same list as the diagram, usable with a keyboard or a screen reader. |
| Type | Yes | Scratch, Dent, Crack, Broken, Missing, Stain, Mechanical | Scratch | The kind of damage. |
| Severity | Yes | Low, Medium, High, Major | Medium | Low: light cosmetic defect. Medium: visible defect to repair, not dangerous. High: affects use. Major: serious defect. |
| Description | Yes | Free text, one or two sentences | "15 cm scratch on the rear left door, at handle height." | Size, exact place, since when if you know. |
| Estimated cost | No | Amount in the agency's currency | MAD 800 | An estimate if you have an idea. The agency sets the real cost later. |
| Photos | Yes, at least one | Photos taken from the screen | 2 photos: overall view and close-up | The evidence of the damage. See [Photos and videos](https://docs.drivego.thesuperplatform.com/en/guides/employee/camera). |
| Videos | No | Video of 60 seconds at most | Video of a noise when the door opens | Useful for mechanical damage. |
| **Send report** | Yes | Button | | Saves the report. Without signal, it is kept on the phone and goes when the network returns. |

**After you save:** the report is created with the status Reported, linked to the car and, when relevant, to the booking and the inspection. The zone marker takes the colour of the severity on the diagram, always with its label. The agency managers are notified. If the report concerns a rental, the customer of that rental is notified too.

## Steps

1. Open the **Damage diagram** from the inspection or from **Camera**.
2. Tap the damaged zone, or pick it in the **Car zones** list.
3. Choose the type and the severity.
4. Describe the damage in one or two sentences.
5. Enter an estimated cost if you have an idea.
6. Add at least one photo, and a video if it helps.
7. Tap **Send report**.

## What the agency does next

| Step | Who does it |
|---|---|
| Put the report **Under review** | Owner, agency manager, fleet manager or finance manager |
| **Repair approved** | Owner or finance manager |
| **Repaired** | Owner, agency manager, fleet manager or finance manager |
| **Charged to customer** or **Waived** | Owner or finance manager |

Any amount charged is visible to the customer only once the damage is charged. See [Damage on the agency side](https://docs.drivego.thesuperplatform.com/en/guides/agency/damage).

## Troubleshooting

| Situation | Cause | What to do |
|---|---|---|
| You cannot change the report's status | An employee can only create a report. | Ask your manager to move it forward. |
| The damage was already known | It is in the car's existing damage. | Photograph it in the "Existing damage" slot of the inspection, without a new report. |
| The report waits in **Sync centre** | You are offline. | It goes when the network returns, as "Damage report". |
| "Already sent: nothing was duplicated." | The report had already arrived. | Nothing to do. |
