# Pickup and return inspections

> Inspect the car at pickup and at return: checklist by area, required photos, mileage, fuel, condition score and signatures. The return is compared with the pickup.

**Who can use this:** Agency employee
**In the app:** Tasks › Pickup details › Pickup inspection
**URL:** https://docs.drivego.thesuperplatform.com/en/guides/employee/inspections
**Updated on:** 2026-10-25

The inspection is the proof of the car's condition. You do it with the customer at pickup (pickup inspection) and at return (return inspection). It combines a checklist by area, photos at set positions, the mileage, the fuel level and two signatures. It works fully offline and is never recorded twice.

## Steps

1. After preparation, tap **Start pickup inspection**. At the return, the return inspection opens from the return task.
2. Read the **mileage** and choose the **fuel level**.
3. Go through the list area by area. For each item choose **Good**, **Minor**, **Major** or **N/A**, add a **Note** if needed and tap **Add a photo** to illustrate.
4. Take a photo at each required position.
5. Photograph damage already known, then each new damage, and place it on the car diagram. See [Damage report](https://docs.drivego.thesuperplatform.com/en/guides/employee/damage).
6. Give an **overall condition score** from 0 to 100.
7. Have the customer sign, then sign yourself.
8. Tap **Send inspection**.

| Required photos | Yes | Front, Rear, Left side, Right side, Interior, Dashboard, Wheels, Odometer, Fuel gauge | 9 photos | The same positions at every inspection, so they can be compared. |
| Existing damage | No | As many photos as needed | 1 photo | Damage already known, photographed again. |

| Overall condition score | Yes | Number from 0 to 100 | 85 | Your overall assessment. |
| Customer signature | Yes | Finger signature | | The customer's agreement on the condition found. |
| Employee signature | Yes | Finger signature | | Your validation. |
| Send inspection | Button | | | Records the inspection. |

**After you save:** the inspection is attached to the booking as the pickup inspection, the car's mileage and fuel are updated, the task moves to **Inspection completed** and your manager is told an inspection is waiting for review. Each new damage creates a damage report with the status Reported.

The four checklist answers:

- Good: no defect;
- Minor: slight defect, the car can be driven;
- Major: significant defect, to be reported;
- **N/A**: the item does not exist on this car.

Each photo carries the time it was taken and, if you allowed it, the place. Details on taking and sending photos are in [Photos and videos](https://docs.drivego.thesuperplatform.com/en/guides/employee/camera).

## Return inspection

*Screenshot: Return inspection compared with the pickup inspection (screen no. 113).*

**Return inspection screen**

| Field | Required | Values or format | Example | What it means |
|---|---|---|---|---|
| Mileage | Yes | Whole number of km | 48,910 | The odometer at return. |
| Fuel level | Yes | Empty, ¼, ½, ¾, Full | ½ | The gauge at return. |
| Checklist | Yes | The same areas and items as at pickup, Good, Minor, Major or N/A | Paint: Major | The condition at return. |
| Required photos | Yes | The same nine positions as at pickup | 9 photos | To compare position by position. |
| New damage | No | Photos and position on the diagram | Scratch, left side | What did not exist at pickup. |
| Overall condition score | Yes | Number from 0 to 100 | 78 | Your overall assessment at return. |
| Customer and employee signatures | Yes | Finger signature | | Agreement on the condition at return. |
| Send inspection | Button | | | Records the return inspection. |

**After you save:** DriveGo automatically compares it with the pickup inspection of the same booking and works out the new damage, the mileage difference and the fuel difference. Your manager sees this comparison in the review. Damage charged to the customer is added to the invoice by a manager, never by the employee.

## Correction requested

Your manager reviews each inspection. They approve it, or they request a correction with a note. In that case you receive a notification and the alert appears in **My tasks**. Open the inspection, read the note, fix what is asked (for example a blurred photo) and send it again.

## An inspection is never recorded twice

Each inspection gets a unique number as soon as it is opened on your phone. If sending happens twice, for example after a network cut at the wrong moment, DriveGo recognises the number and keeps the inspection already received instead of creating a second one. Photos are recognised the same way.

## What happens next

- If the inspection belongs to your task, you can declare the car ready. See [Pickups and returns](https://docs.drivego.thesuperplatform.com/en/guides/employee/pickups).
- The agency handles the new damage. See [Damage](https://docs.drivego.thesuperplatform.com/en/guides/agency/damage).

## Troubleshooting

| Situation | Cause | What to do |
|---|---|---|
| "Already sent: nothing was duplicated." | The inspection had already arrived on an earlier attempt. | Nothing: it is recorded only once. |
| "Some details are invalid. Fix the highlighted fields." | A required field is missing, such as the mileage, or the score is not between 0 and 100. | Correct the field and send again. |
| The inspection stays in the sync centre | You are offline or sending failed. | Open **Sync centre** and tap **Try again**. See [Working offline](https://docs.drivego.thesuperplatform.com/en/guides/employee/offline). |
| The task does not move to **Inspection completed** | The inspection has not arrived yet. | Wait for the sync, then refresh the task. |
