# Roles and permissions

> Who can see and do what in DriveGo: agency, customer and company roles explained simply, plus the information only some roles can see.

**Updated on:** 2026-10-25

Everyone who uses DriveGo has a role. Your role decides which screens you see, which information is shown and which actions you can take. DriveGo applies these rules itself: restricted information is not just hidden on screen, it is never sent to you.

## The roles

| Role | Who | What they see |
|---|---|---|
| **Guest** | Anyone without an account | Cars from verified agencies, agency pages and cars for sale. They can prepare a booking but must sign in to confirm it. |
| **Individual customer** | A person renting for themselves | Their bookings, invoices, documents and favourites. |
| **Company admin** | The person who manages a business account | All company bookings, its drivers, its invoices and its negotiated rates. |
| **Company member** | A colleague added by the admin | The bookings where they are the driver, and their invoices. |
| **Agency owner** | The person who registered the agency | Everything, for all their agencies and sites: fleet, bookings, teams, finance. |
| **Agency manager** | Staff member running an agency's operations | Their agency's operations and bookings. Not the finance settings or costs. |
| **Finance manager** | Staff member in charge of an agency's accounts | Their agency's finance, invoices, payments and insurance costs. |
| **Fleet manager** | Staff member in charge of an agency's cars | Their agency's cars, maintenance, availability and damage. |
| **Agency employee** | Staff member working in the field | Only the tasks assigned to them: handovers, returns, inspections, damage, accidents. |

The **DriveGo team** checks agencies and companies before they go live and handles disputes. It is not one of the app's roles.

## One person, several spaces

The same person can be a manager in one agency and an employee in another, or rent a car as a customer while running an agency. In that case **Switch space** offers Customer, Company, Agency or Field, without a second account. Inside an agency, what counts is your role **in that agency**.

## How far your access goes in an agency

- An **owner of several agencies** sees all of them together and can pick "All agencies" on the screens that allow it.
- A **manager, finance manager, fleet manager or employee** only sees the agencies where they work, never the owner's other agencies.
- An **employee** only sees their tasks: the handovers and returns assigned to them, the matching bookings, the inspections, damage and accidents they created or that concern their tasks, and their agency's car list, read only.

If you open a link to an agency or booking outside your access, the app shows "Your account cannot perform this action."

## Information reserved for some roles

| Information | Who sees it |
|---|---|
| Premium and deductible of an insurance policy | The owner and the finance manager |
| The price calculation saved with a booking | The agency (owner, manager, finance), never customers |
| A car's accounting references | The owner |
| Amount charged for damage | The agency; the customer only once the damage is charged to them |
| A company's credit limit | The company admin, not members |
| Who owns an agency | The agency, never customers or guests |

## The role you get at sign-up

| Account type chosen | Role received | What is created |
|---|---|---|
| Individual | Individual customer | Your customer record |
| Company | Company admin | The company profile, as a draft, to be verified |
| Agency | Agency owner | The agency, as a draft, to be verified before it goes live |

Agency employees never sign up by themselves. The owner, or the manager for an employee, invites them from the app; they receive an email with a one-time link to choose their password. See [Team](https://docs.drivego.thesuperplatform.com/en/guides/agency/team).

## Approvals

| Subject | Steps | Who does what |
|---|---|---|
| Agency verification | Draft, Submitted, Under review, Verified or Rejected; a verified agency can be Suspended then restored | The owner sends, and sends again after a rejection; the DriveGo team decides |
| Company verification | Draft, Pending, Verified or Rejected | The company admin sends; the DriveGo team decides |
| Damage | Reported, Under review, Repair approved, Repaired, then Charged to customer or Waived | The employee only reports; the owner or finance manager approve, charge or waive |
| Accident follow-up | Nine stages in order | Employee: stages 1, 2, 4 and 8; manager or owner: stages 3, 5, 6, 7 and 9 |

Each status is described in [Statuses](https://docs.drivego.thesuperplatform.com/en/reference/statuses); the nine stages in [Accident follow-up](https://docs.drivego.thesuperplatform.com/en/reference/accident-pipeline).
