# Statuses

> Every status shown in DriveGo: its badge, what it means, what changes it and what comes next, for cars, bookings, pickups, damage, accidents and sale listings.

**Updated on:** 2026-10-25

A status tells you where a car, a booking or a task stands. In the app it appears as a coloured badge, always with a label and an icon: colour is never the only signal.

A status never changes at random. Each move from one status to another follows a set order; if you try an action that is not possible in the current status, the app refuses it and tells you what you can do.

## Car

| Status | What it means | What sets it |
|---|---|---|
| Available | The car can be rented. | Adding the car, a finished return, the end of a maintenance, the last step of an accident follow-up. |
| Rented | A customer has the car. | The employee finishes the pickup and hands over the keys. |
| Reserved | The car is held for an upcoming booking. | The agency's choice. |
| Maintenance | The car is in the workshop. | A maintenance saved with "make the car unavailable", during its period. |
| Accident | The car is off the road after an accident. | The accident report. It stays blocked until the last step of the follow-up. |
| Unavailable | The car is withdrawn from rental for another reason. | The agency's choice. |
| For sale | A sale listing is published. | Publishing the listing, when the car is not on rent. |
| Sold | The car has been sold. | The owner marks the listing sold. Future dates are blocked. |

A sold car never appears in search again.

## Booking

| Status | What it means | What can come next |
|---|---|---|
| Draft | The booking is being filled in. | Pending, Confirmed |
| Pending | The car is held for your dates; the agency must confirm. | Confirmed, Cancelled |
| Confirmed | The agency has accepted. The invoice is created and the key handover waits for an employee. | Pickup assigned, Cancelled, Dispute |
| **Pickup assigned** | An employee is named to hand you the car. | Pickup in progress, Cancelled, Dispute |
| **Pickup in progress** | The employee is on the way or on site. | Active, Dispute |
| Active | You have the car. | Return in progress, Completed, Dispute |
| **Return in progress** | The employee is taking the car back. | Completed, Dispute |
| Completed | The car is back and the return inspection is done. | None: final status |
| Cancelled | Cancelled by the customer or the agency. The dates are released. | None: final status |
| **Dispute** | A disagreement is open, for example about damage or an amount. | Completed |

What moves a booking forward:

- **When you book**: it is confirmed at once if the agency confirms automatically, otherwise it stays pending.
- **The agency picks an employee** for the key handover: Pickup assigned.
- **The employee sets off or arrives**: Pickup in progress.
- **The employee finishes the handover**: Active. The car becomes Rented and the return is prepared for the end date.
- **The employee arrives for the return**: Return in progress. **The return is finished**: Completed, and the car is Available again.
- **The agency owner or manager** can also confirm or cancel a pending booking, move a rental to return or finish it, open a dispute and close it.

You can cancel a booking while it is draft, pending, confirmed or pickup assigned. Once the car has been handed over, cancelling is no longer possible. See [Cancel a booking](https://docs.drivego.thesuperplatform.com/en/guides/customer/cancellation).

### Payment

| Status | What it means |
|---|---|
| Unpaid | No payment received for the rental. |
| **Partly paid** | Part of the amount is paid. |
| Paid | Nothing is left to pay. |
| **Refunded** | The rental was cancelled after payment and the money was returned. |

The deposit has its own status: **Held** when the agency has taken it, **Refunded** when it has given it back. The deposit is not a payment for the rental: it never counts in the payment status or in the agency's revenue.

### Invoices

In the invoice list, an invoice is Paid, Unpaid, Overdue (past its due date), **Partly paid**, Draft, **Credit note** (the document that cancels all or part of an invoice) or Cancelled.

## Pickup and return

The same steps are used for the key handover and for the return of the car.

### Normal steps

| Status | What leads to it | What can come next |
|---|---|---|
| **Unassigned** | The booking is confirmed: the task is created automatically. | Assigned |
| **Assigned** | The manager picks an employee. | Accepted, Reassigned, Rescheduled, Cancelled |
| **Accepted** | The employee accepts the task. | On the way, Issue reported, Reassigned, Rescheduled, Cancelled |
| **On the way** | The employee leaves for the meeting point. | Arrived, Delayed, Issue reported |
| **Arrived** | The employee is on site; their location is recorded. | Preparing the car, Issue reported |
| **Preparing the car** | The employee fills in the preparation checklist. | Inspection in progress, Issue reported |
| **Inspection in progress** | Preparation is done; the inspection starts. | Inspection completed, Issue reported |
| **Inspection completed** | The inspection is sent. | Ready for customer |
| **Ready for customer** | The employee marks the car ready. | Completed, No-show, Issue reported |
| Completed | Handover or return finished. | None: final status |

To finish, the inspection must be done (pickup inspection for a handover, return inspection for a return) and every required preparation item must be ticked "Done" or "Not applicable".

### Exceptions

| Status | When | What can come next |
|---|---|---|
| **Delayed** | The employee on the way reports a delay, with the minutes and a reason. | Arrived, Issue reported, a new delay, back on the way |
| **Issue reported** | The employee reports a problem. The manager is told at once, even at night. | Back to the previous status once solved, Reassigned, Rescheduled, Cancelled |
| **Rescheduled** | The manager changes the time or place. | Accepted, Reassigned, Rescheduled, Cancelled |
| **Reassigned** | The manager gives the task to another employee. The old task stays in the history and a new assigned task is created. | None: final status |
| **No-show** | The customer does not turn up for the handover. | None: final status |
| Cancelled | The manager cancels the task, with a reason. | None: final status |

Each task also shows a calculated urgency: Pickup today, **Due in 1 h** or Overdue. The priority, **Normal**, **High** or Urgent, is chosen by the manager.

## Car calendar

Each period in the availability calendar has one of these states:

| State | What it means |
|---|---|
| **Available** | The period is open for rental. |
| **Blocked** | The agency has closed the period, with a reason if it wishes. |
| **Rented** | The period is taken by a booking. |
| **Maintenance** | The period is taken by a maintenance. |
| **Accident** | The car is off the road after an accident, with no end date until the last step of the follow-up. |

Two periods cannot overlap. A period that ends exactly when another starts does not overlap: a car returned at 10:00 can leave again at 10:00.

## Inspection

| Status | What it means |
|---|---|
| Draft | Being filled in on the employee's phone. |
| In progress | Started. |
| Completed | Sent by the employee. The car's mileage and fuel level are updated. |
| **Approved** | Approved by the owner, the manager or the fleet manager. |
| **Correction requested** | Sent back to the employee with a note. The employee is told. |

## Damage

| Status | Who sets it | What can come next |
|---|---|---|
| **Reported** | Any agency member, including the employee in the field. A return inspection that finds new damage also creates it. | Under review |
| **Under review** | Owner, manager, fleet manager or finance manager. | Repair approved, Waived |
| **Repair approved** | Owner or finance manager. | Repaired, Waived |
| **Repaired** | Owner, manager, fleet manager or finance manager. The real cost entered counts once in the agency's expenses. | Charged to customer, Waived |
| **Charged to customer** | Owner or finance manager, with an amount above zero and a linked booking. | None: final status |
| **Waived** | Owner or finance manager: the agency chooses not to charge. | None: final status |

Charging damage adds a line to the booking's invoice if it is not finalised yet; otherwise a separate damage invoice is created. The customer only sees the amount charged once the damage is charged. Possible severities: **Low**, **Medium**, **High**, **Major**.

## Maintenance

| Status | What it means |
|---|---|
| **Scheduled** | Planned for a date. |
| In progress | The car is in the workshop. |
| Completed | Work finished. The car is released; the cost entered counts once in the expenses. |
| Overdue | The due date has passed. DriveGo checks this every night. |
| Cancelled | Dropped. The car is released. |

## Accident

An accident is **Open** when reported, **In progress** as soon as a step moves, **Under review** from the quotation step, **Resolved** when the last step is finished, then **Closed**.

Each step of the follow-up has its own status: **Pending** (not started), **In progress**, **Blocked** (waiting for the insurer, the garage or the police), **Completed** (with the date and the person) or **Skipped** (by the owner, with a note). The nine steps are described in [Accident follow-up](https://docs.drivego.thesuperplatform.com/en/reference/accident-pipeline).

## Sale listing

| Status | What it means |
|---|---|
| Draft | Visible to the agency only. |
| **Published** | Visible to everyone in "Cars for sale". The car becomes For sale if it is not on rent. |
| Reserved | Still visible; a buyer is in talks. Others can still make an offer. |
| Sold | The sale is recorded, the sale invoice is issued and the car becomes Sold. |
| **Unpublished** | Withdrawn from sale. |

A car has only one active listing at a time. Each buyer offer is **Pending**, **Accepted**, **Rejected** or **Expired**.

## Agency

| Verification status | What it means |
|---|---|
| Draft | The agency is created but not submitted yet. It is not visible to the public. |
| **Submitted** | The owner has asked for verification. |
| **Under review** | The DriveGo team is reviewing the file. |
| Verified | The agency appears in search and the owner gets a welcome email. |
| Rejected | The file is rejected. The owner can fix it and submit again. |
| **Suspended** | The DriveGo team removes the agency for a time; it can become verified again. |

The agency also has an activity state: **Active**, **Paused** or **Closed**. Only verified and active agencies appear in search.

## Company and drivers

A company customer's profile is Draft, Pending (verification requested), Verified or Rejected. The DriveGo team decides.

| Driver status | What it means |
|---|---|
| **Active** | Can be assigned to a booking. |
| **Documents missing** | The licence or another document is still needed. |
| **Licence expired** | The licence expiry date has passed. |
| **Inactive** | Removed by the company admin. |

## Insurance policy

| Status | When |
|---|---|
| Active | The end date is more than 30 days away. |
| Expiring soon | The end date is within 30 days. An alert appears on the dashboard. |
| Expired | The end date has passed. |
| **Cancelled** | The agency has cancelled the policy. This status overrides the dates. |

## Messages you may see

When an action does not go through, the app shows one of these messages:

| Message shown | When |
|---|---|
| "Sign in to continue." | The action needs a signed-in account. |
| "Your session has expired. Please sign in again." | You were inactive for a long time. |
| "Your account cannot perform this action." | Your role or agency does not allow this action. |
| "Not found." | The item does not exist or you cannot access it. |
| "This car is no longer available for those dates. Pick other dates or another car." | The car is taken or blocked for the period. |
| "The agency has no price for this duration yet. Try another duration." | None of the agency's prices covers this duration. A price is never shown as zero. |
| "Those dates were just booked. Pick other dates." | Two people booked the same car at the same moment; only one booking goes through. |
| "Wrong code. Check the 6 digits you received." | The verification code entered is wrong. |
| "This code has expired. Request a new one." | The code is more than 10 minutes old. |
| "Biometric sign-in failed. Use your password." | Face ID or fingerprint did not work. |
| "File too large. Reduce its size and try again." | A photo, video or document is over the allowed size. |
| "Some details are invalid. Fix the highlighted fields." | A field is missing or breaks a rule. |
| "The service is temporarily unavailable. Try again in a moment." | DriveGo is not responding at the moment. |
| "Already sent: nothing was duplicated." | Something sent while offline had already been received. |
| "Too many attempts. Wait a minute." | Too many tries in a short time. |
| "No connection. Check your network." | Your device has no network. |
| "Something went wrong. Try again." | An unexpected error occurred. |
