Agency employee guide

What an agency employee sees in DriveGo: pickup and return tasks, inspections with photos, damage and accidents, even without a network.

Who can use thisAgency employee
In the appTasks

The Field space is the agency employee's app. You use it to carry out on site the tasks the agency manager gives you: hand a car to a customer, collect it at the end, inspect it, photograph its condition and report what is wrong. It is built for outdoor work: large touch areas, high contrast, and every form works without a network.

What you see, and what you do not

Your access is deliberately narrower than the rest of the agency. It is not just hidden on screen: DriveGo also refuses access if you try to open this information.

You seeYou do not see
The pickups and returns given to youTasks given to your colleagues
The bookings linked to your tasksThe agency's other bookings
The inspections, damage and accidents you created or that concern your tasksInvoices, payments and finance figures
Your agency's fleet, read only, with the option to add a noteRental prices
The accident follow-up stages given to youThe cost and excess of the agency's insurance contracts

If you work for several agencies of the same owner, you only see the agencies you are attached to.

Your account

An employee never creates their own account. The agency owner, or a manager, invites you from the Team screen: you receive an email with a single-use link to choose your password. See Team and roles.

At your first sign-in, DriveGo offers Sign in with Face ID / fingerprint, because you sign in many times a day. The offer only appears if your phone can unlock with face recognition or a fingerprint. See Face ID and fingerprint.

The first time you open your tasks, DriveGo also offers to Turn on notifications. Accept them: this is how you learn that a task is given to you, moved or taken away. See Notifications.

On a phone, the bottom bar has five entries: Tasks · Bookings · Fleet · Camera · Profile. On a large screen, the same entries move to a side bar. In Arabic, the bar and the timelines read from right to left.

A badge on Tasks shows what is waiting for you. An amber banner at the top of the screen tells you that you are offline or that items are waiting to be sent.

The employee guides

Your tasks, bookings and fleetThe employee home: today's tasks, alerts, the bookings assigned to you, the agency fleet read only and your profile, field by field.Pickups and returnsCarry out a pickup from start to finish: accept the task, leave, mark your arrival, prepare and inspect the car, hand it to the customer, then handle the return.Prepare the carThe preparation checklist: twelve points to check before the pickup inspection, each Done, Issue or N/A, with a note and a photo when needed.Pickup and return inspectionsInspect the car at pickup and at return: checklist by area, required photos, mileage, fuel, condition score and signatures. The return is compared with the pickup.Photos and videosTake the photos and videos of an inspection, a damage report or an accident: named slots, upload status for each photo, even without signal.Damage captureReport a damage on the car diagram: zone, type, severity, description, estimated cost and photos. The agency then takes over the review and repair.Maintenance in the fieldWhat an employee can do for a car's maintenance: read the history and add a note. The maintenance record is filled in by the fleet manager.Reporting an accident and following its stagesReport an accident on site with the place, weather, injuries, police, third parties and photos, then complete the follow-up stages assigned to you.Working offlineWhat works without signal in the field app, the banner that warns you, and the Sync centre that sends your work when the network returns.

A typical day

  1. At 7:00 you receive the summary of the day's tasks.
  2. You open Tasks, accept the next pickup and leave for the meeting point.
  3. On site, you mark your arrival, prepare the car with the checklist, then do the pickup inspection with photos.
  4. You hand the car to the customer and complete the pickup: the rental starts.
  5. At the return, the same steps run with the return inspection, compared with the pickup one.
