Statuses

Every status shown in DriveGo: its badge, what it means, what changes it and what comes next, for cars, bookings, pickups, damage, accidents and sale listings.

A status tells you where a car, a booking or a task stands. In the app it appears as a coloured badge, always with a label and an icon: colour is never the only signal.

A status never changes at random. Each move from one status to another follows a set order; if you try an action that is not possible in the current status, the app refuses it and tells you what you can do.

Car

StatusWhat it meansWhat sets it
AvailableThe car can be rented.Adding the car, a finished return, the end of a maintenance, the last step of an accident follow-up.
RentedA customer has the car.The employee finishes the pickup and hands over the keys.
ReservedThe car is held for an upcoming booking. The agency's choice.
MaintenanceThe car is in the workshop.A maintenance saved with "make the car unavailable", during its period.
AccidentThe car is off the road after an accident. The accident report. It stays blocked until the last step of the follow-up.
UnavailableThe car is withdrawn from rental for another reason. The agency's choice.
For saleA sale listing is published.Publishing the listing, when the car is not on rent.
SoldThe car has been sold. The owner marks the listing sold. Future dates are blocked.

A sold car never appears in search again.

Booking

StatusWhat it meansWhat can come next

PendingThe car is held for your dates; the agency must confirm.Confirmed, Cancelled
ConfirmedThe agency has accepted. The invoice is created and the key handover waits for an employee.Pickup assigned, Cancelled, Dispute

DisputeA disagreement is open, for example about damage or an amount.Completed

What moves a booking forward:

  • When you book: it is confirmed at once if the agency confirms automatically, otherwise it stays pending.
  • The agency picks an employee for the key handover: Pickup assigned.
  • The employee sets off or arrives: Pickup in progress.
  • The employee finishes the handover: Active. The car becomes Rented and the return is prepared for the end date.
  • The employee arrives for the return: Return in progress. The return is finished: Completed, and the car is Available again.
  • The agency owner or manager can also confirm or cancel a pending booking, move a rental to return or finish it, open a dispute and close it.

You can cancel a booking while it is draft, pending, confirmed or pickup assigned. Once the car has been handed over, cancelling is no longer possible. See Cancel a booking.

Payment

StatusWhat it means
UnpaidNo payment received for the rental.
Partly paidPart of the amount is paid.
PaidNothing is left to pay.
RefundedThe rental was cancelled after payment and the money was returned.

The deposit has its own status: Held when the agency has taken it, Refunded when it has given it back. The deposit is not a payment for the rental: it never counts in the payment status or in the agency's revenue.

Invoices

In the invoice list, an invoice is Paid, Unpaid, Overdue (past its due date), Partly paid, Draft, Credit note (the document that cancels all or part of an invoice) or Cancelled.

Pickup and return

The same steps are used for the key handover and for the return of the car.

Exceptions

StatusWhenWhat can come next
DelayedThe employee on the way reports a delay, with the minutes and a reason.Arrived, Issue reported, a new delay, back on the way

Each task also shows a calculated urgency: Pickup today, Due in 1 h or Overdue. The priority, Normal, High or Urgent, is chosen by the manager.

Car calendar

Each period in the availability calendar has one of these states:

RentedThe period is taken by a booking.
MaintenanceThe period is taken by a maintenance.
AccidentThe car is off the road after an accident, with no end date until the last step of the follow-up.

Two periods cannot overlap. A period that ends exactly when another starts does not overlap: a car returned at 10:00 can leave again at 10:00.

DraftBeing filled in on the employee's phone.
In progressStarted.
CompletedSent by the employee. The car's mileage and fuel level are updated.

Charged to customerOwner or finance manager, with an amount above zero and a linked booking.None: final status
WaivedOwner or finance manager: the agency chooses not to charge.None: final status

Accident

An accident is Open when reported, In progress as soon as a step moves, Under review from the quotation step, Resolved when the last step is finished, then Closed.

Each step of the follow-up has its own status: Pending (not started), In progress, Blocked (waiting for the insurer, the garage or the police), Completed (with the date and the person) or Skipped (by the owner, with a note). The nine steps are described in Accident follow-up.
