Accident follow-up in nine steps

The nine steps of an accident follow-up, who can finish each one, the order to follow, skipping by the owner and what happens to the car.

Every accident reported opens a follow-up of nine steps, always the same ones. The car stays off the road until the last step is finished. The follow-up keeps a record of each step: who started it, who finished it, when, with which notes and which documents.

The nine steps

No.StepWhat happensWho can finish it
1Accident reportedThe report is saved: date, place, location, weather, description, injuries, police, other vehicles involved, photos and videos.Employee, manager, owner
2Documents collectedAccident report form, police report, details and insurance of the other parties, driver's licence.Employee, manager, owner
3Insurer notifiedThe agency declares the claim to its insurer and notes the claim number.Manager, owner
4Technical inspectionThe car is examined to price the damage, with photos.Employee, manager, owner
5Repair quotationThe garage gives its quote; the estimated cost is entered.Manager, owner
6Insurer approvalThe insurer approves the cover and the excess.Manager, owner
7Repair in progressThe car is at the garage.Manager, owner
8Final inspectionCheck of the repaired car, exit photos.Employee, manager, owner
9Ready to rentThe car goes back into rental.Manager, owner

The DriveGo team can also act on every step. The finance manager does not change the follow-up. The fleet manager can mark steps 1, 2, 4 or 8 as in progress or blocked, but cannot finish them.

Status of a step

StatusWhat it means
PendingNot started yet.
In progressThe step being handled. When a step is finished, the next one moves to in progress on its own.
BlockedWaiting for someone else: insurer, garage, police. The whole follow-up then shows as blocked.
CompletedDone, with the date and the person.
SkippedSkipped by the owner, with a note.

A completed or skipped step can no longer be changed.

Steps follow each other in order

To finish a step, all earlier steps must be finished. Otherwise the app refuses and shows the steps still open.

Skipping steps. Only the agency owner can finish a step while earlier steps are open, and only with a note explaining why. Each skipped step becomes "Skipped" and keeps the note. Without a note, the app refuses.

What the report sets off

As soon as the report is sent:

  1. the car becomes Accident;
  2. it can no longer be booked from the accident date, with no end date;
  3. the follow-up is created, with step 1 in progress;
  4. the agency owner and managers get "Accident reported" as high priority, by notification and email, even at night.

If the accident happens during a rental, the current booking is found and linked automatically.

What step 9 sets off

When step 9 is finished:

  • the car is back to Available;
  • it can be booked again;
  • the accident becomes "Resolved";
  • if the real cost of the damage is entered, it counts once in the agency's expenses, on the "Accident cost" line of the finance dashboard.

Due dates and reminders

Each step can have a due date and a person in charge. On the due date, that person (or, failing that, the agency managers) gets a reminder. An employee is told when a step is given to them.

Without a network

An employee can report an accident without a network: the form, the location, the photos and the videos are kept on their phone and sent as soon as the connection returns, only once. The follow-up starts when the report is received. See Offline mode.
